Why we collect it
We use personal information to:
- reply to your enquiry;
- schedule and deliver a Trial Hour or other session you book;
- operate, secure, and understand how the Site is used; and
- send you occasional Phoenix AI updates only if you ask us to.
We do not sell your personal information.
Consent and withdrawal
By submitting the contact form or booking a session, you consent to our using the details you provide to respond and to deliver that request.
Optional updates are separate. We will send them only if you choose to receive them, using an unchecked box on the contact form or another clear request. You can unsubscribe at any time using the link in those messages or by emailing ai@xphoenix.ai.
You may withdraw consent or ask us to stop using your information for a purpose, subject to legal or contractual requirements (for example, records of a paid session). Email ai@xphoenix.ai. Withdrawing consent does not change communications we have already sent.
Cookies and analytics
We use Google Analytics to understand how the Site is used, including pages viewed, general location, and device or browser type. Google Analytics sets cookies or similar identifiers when you visit.
You can refuse or delete cookies in your browser settings. Google also provides a browser add-on to opt out of Google Analytics at: https://tools.google.com/dlpage/gaoptout
Service providers and processing outside Canada
We use service providers to help us operate the Site and deliver services, including:
- FormSubmit (formsubmit.co), to receive contact-form submissions;
- Cal.com, to schedule sessions;
- Google Analytics, to measure Site use;
- email providers; and
- AI tools used to run demonstrations and sessions.
Some of these providers are located outside Canada, including in the United States. Your information may be processed and stored outside Canada and may be accessible to courts, law enforcement, and national security authorities there. We use contractual and other measures intended to protect it.
Contact-form submissions are delivered to our email systems, which may also involve providers outside Canada.
How long we keep information
We keep personal information only as long as needed for the purposes described in this policy, including to complete your request or session and to meet legal, accounting, or security requirements. We then delete or de-identify it.
How we protect it
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. No method of transmission or storage is completely secure.
Access and correction
You may ask for access to the personal information we hold about you, or ask us to correct it, by emailing ai@xphoenix.ai. We will respond within the time required by applicable law. We may need to verify your identity. In limited cases we may not be able to provide access (for example, where doing so would reveal someone else’s personal information). If we cannot provide access, we will explain why, subject to any legal limits.
Breaches
If a breach of security safeguards creates a real risk of significant harm, we will report it to the Office of the Privacy Commissioner of Canada and notify affected individuals as required by applicable Canadian privacy law. We keep a record of breaches as required.
